Choose the destination before comparing quotes
Confirm that the receiving shop, yard or person can accept the vehicle you want moved. Check the address, opening hours, contact number and unloading space. A repair appointment does not automatically mean a location can receive a disabled commercial combination or an after-hours delivery. If the trip has a preferred date, explain whether it is flexible or linked to another appointment. Keep the pickup and receiving contacts in the same request. For a longer job outside the Hamilton-to-Niagara corridor, ask the operator to assess the route and availability rather than assume every destination is automatically covered.
Document the vehicle without adding assumptions
Provide the exact vehicle identity and explain whether it starts, rolls, steers and brakes. Tell the operator if the keys are available and whether a person can be present for handover. Include known damage, modifications, attached equipment and anything that makes loading unusual. For a truck or trailer, add load and dimension information. If you do not know a detail, say so; a guessed weight or clearance can be less useful than an honest unknown. Ask how to supply photographs and vehicle instructions. Avoid including unnecessary personal documents in an initial general enquiry.
Define what the proposed transport covers
Ask for a quote that identifies the pickup, destination, vehicle and agreed work. Clarify the transport method, the proposed timing window and what depends on a further assessment. If collection requires access coordination, tell the operator before accepting a date. If your destination might change, discuss how a change would be handled. For a delivery outside normal receiving hours, agree on the receiving arrangement in advance rather than leaving it to the driver to resolve on arrival. Large or unusual loads may need a separate planning conversation; a routine passenger-car enquiry does not describe every transport job.
Make the handoff easy to verify
Keep a record of the agreed pickup and delivery contacts, vehicle identity and existing visible condition where it is safe to do so. Ask who should receive updates and which phone number the operator can reach during the move. Remove personal belongings when practical and confirm the key handoff with the operator. Do not leave a disabled vehicle in a place where access is uncertain without discussing it. At the receiving end, arrange for someone who knows the vehicle is expected. Finish by checking the paperwork and confirming that the agreed receiver has the information needed to take over.
